Inventory
The inventory feature allows you to store your item data and is highly beneficial for generating shipments. Your orders can automatically inherit the item weights and dimensions, speeding up the despatch process. It is also helpful for international shipments since you can store commodity (HS) codes and item customs descriptions.
Note that the HS codes must be manually entered into the inventory, as the system won't pull this data from sales channels. If you have set up your sales channels, the inventory will start to populate from your sales channels and via items from the immediate inbound orders.
The inventory may take up to 6 hours to be fully pulled from your sales channels. However, you can manually add or import a CSV file to update your inventory. Your inventory automatically pulls through on channel set-up if you have activated stock control. But, it will not update the inventory once it is in there, only on the initial download.

Glossary Terms
- The Product Code (SKU) is generated upon creating an inventory item and cannot be modified. If you want to change it, you must delete the product and create a new one.
- The Date Added field indicates when the product was added to the inventory.
- Stock Level displays the current inventory level of the product.
- Stock Warn Level can be set to a specific number and will issue a warning on the "Inventory > Stock Warnings" page when the stock levels hit the specified number.
- Sync Stock allows you to synchronize the stock level with your sales channels.
- Deduct Stock determines whether orders should deduct stock as they are sold.
- The Name field is used for the product's name and can be as brief or descriptive as desired, but it can only contain characters from "A-Z, 0-9, _&?/}". Special characters and apostrophes will need to be removed from your inventory.
- Customs Description should be a generalized/categorized description of the item. It should be clear and specific.
- Weight and Dimensions use metric units of measure, kilograms, and centimetres. If left empty, the values will be pulled from the general setting page where defaults are set.
- Country of Origin indicates where the product originates. Even if your supplier is based in Germany but sources the item from China, the country of origin is China.
- HS Code is a harmonized product code assigned to the item. You can use a government service like https://www.gov.uk/trade-tariff to look up the HS code for your item. HS codes can vary in length, but the more numbers it has, the more specific it is to the item in question.
- Shipping Service is the default shipping service for the product. You may use a particular courier service if a specific courier is required for the item, such as for dangerous goods.
- Barcode is a text input that converts to a product's barcode.
- Location is used to track where the item is in the warehouse.
- Cost Price/Retail Price is primarily for manual order creation and reporting.
- Product Image is a photo of the product itself. It will appear in inventory screens, orders, and invoices/packing sheets.
- Linked Sales Channels list any sales channels related to the product.
Creating Inventory
To create a new inventory, go to the left panel and click "Inventory," then click the "Create Inventory" button.
This action will take you to a page where you can enter the product name and code and adjust the synchronization setting.
After clicking the "Create Inventory" button, you will be directed to a page where you can modify the information on the newly created inventory.
Editing Inventory
Click "Inventory" in the left panel to view your current inventory. From there, you can access your created and imported inventory.
If you click the "View" button in the inventory list, you will be taken to a page where you can edit the product details.
Importing and Exporting Inventory
Click "Inventory" through the left panel, then click the "Inventory Import/Export" button to import or export new inventory.
You can select a CSV file to upload your inventory through this screen. You can also download your existing inventory from Orders.
You will see a mapping tool screen if you upload a CSV file. The left column shows the sections in Orders, and the right column represents the data pulled from the CSV file you just uploaded. You must match the fields of your CSV file with the ones in Orders so that the data can go into the correct areas. If you do not have the data for a specific row, you can leave it blank by selecting the first option, "---."
Note: The mapping tool is optional if you upload a CSV file previously downloaded from Orders. In this case, the system will automatically recognise and match the fields.
